Information collected automatically

  • Website usage: information about how you use our website, such as the pages you visit, the device and browser you use, and your approximate location, collected through cookies and similar technologies. See our Cookie Policy for details.
  • Technical information: your IP address and basic connection data, which are processed by our hosting provider and by third-party services embedded in our website, such as Google Maps and Google Fonts.

We do not intentionally collect special category data, such as health information, through our website. Please do not include it in enquiries.

3. How we use your information

  • To respond to your enquiry and arrange site surveys.
  • To prepare proposals, quotations, designs and savings estimates.
  • To deliver projects, including design, grid applications, health and safety management and handover.
  • To manage our relationship with you, including invoicing and aftercare.

  • To understand how our website is used and improve it.
  • To send you occasional updates about our services, where you have agreed to this or where the law allows. You can opt out at any time.

4. Our lawful bases

Under UK data protection law, we must have a lawful basis for using your personal information. We rely on:

  • Contract: where we need to use your information to provide a quote or deliver a service you have asked for.
  • Legal obligation: where we must keep or share information to comply with the law, for example health and safety and tax records.
  • Legitimate interests: where we use your information to run and grow our business in ways you would reasonably expect, such as responding to business enquiries and improving our website, provided this does not override your rights.
  • Consent: for non-essential cookies and certain marketing. You can withdraw your consent at any time.

5. Who we share it with

We never sell your personal information. We only share it where necessary with:

  • Service providers who help us run our business, such as our website host (WordPress.com, operated by Automattic), email and cloud storage providers, and analytics providers.
  • Project partners involved in delivering your project, such as structural engineers, specialist contractors, equipment suppliers, network operators for grid applications, and funders where you have asked us to arrange funding.
  • Professional advisers such as our accountants, insurers and legal advisers.
  • Authorities where we are legally required to, for example the Health and Safety Executive or HMRC.

Anyone processing information on our behalf must keep it secure and use it only on our instructions.

6. International transfers

Some of our service providers, including our website host, may store or process information outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK International Data Transfer Agreement, or equivalent protections recognised under UK law.

7. How long we keep it

We keep personal information only for as long as we need it, and dispose of it securely when it is no longer required.

  • Enquiries that do not go ahead: up to 2 years from our last contact.
  • Client and project records: generally 6 years after the project ends, to meet legal, tax and contractual requirements. Some health and safety information may be kept longer where the law requires it.
  • Website analytics: in line with the settings of the analytics service, described in our Cookie Policy.

8. Keeping your information secure

We use appropriate technical and organisational measures to protect your information, including secure, access-controlled systems and limiting access to people who need it for their work. No method of transmission over the internet is completely secure, but we take reasonable steps to protect the information you share with us.

9. Your rights

Under UK data protection law, you have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete your information in certain circumstances.
  • Ask us to restrict how we use your information in certain circumstances.
  • Object to us using your information, including for direct marketing.
